How India-Based Recruiters Coordinate Faster US Hiring

An India-based recruitment team can support US hiring by coordinating sourcing, screening and candidate communication for US-based roles. The opportunity to reduce delay comes from clear handovers and prompt decisions. It does not come from a universal promise that every shortlist will arrive in a fixed number of days.

Define the US role before opening the search

Specify where the employee must be based, whether the role is remote or office-based, the compensation range and the outcomes the person will own. Include the technical or commercial experience that is essential. The employer should confirm relevant work-authorisation and sponsorship requirements with its HR team.

Make the distinction explicit: the recruitment team may work from India while the candidate and role remain in the United States. This is a search coordination arrangement, not an assumption that the job is being moved offshore.

Agree one screening scorecard

Use a shared scorecard to assess evidence from candidate experience. Separate must-have requirements from preferences and explain acceptable trade-offs. Calibrate the first screened profiles together before increasing sourcing volume. A short discussion at this point can prevent repeated submissions against a misunderstood brief.

Plan the handover across time zones

  • Identify one employer feedback owner and one recruitment coordinator.

  • Agree overlapping times for questions and interview scheduling.

  • Record the time zone in every invitation and deadline.

  • Consolidate interviewer feedback into one set of next actions.

  • Flag a changed requirement as a brief change, so everyone works from the same version.

A practical handover records the candidate stage, evidence already gathered, open questions, next action and owner. It should be understandable without an extra meeting. Round-the-clock availability is not required for a well-run handover.

Distinguish sourcing time from joining time

Track the first relevant shortlist, completed interviews, accepted offer and joining date separately. Candidate response, assessment complexity, employer availability and notice periods affect different stages. Review where time is being spent before asking the recruiter to send more profiles.

Review progress against the actual search

Agree a reporting cadence and use role-specific evidence to adjust the search. If candidates consistently decline the same condition, review the brief or offer. If candidates are waiting for feedback, resolve the employer decision process. A fixed speed claim cannot substitute for understanding the bottleneck.
